What this notice covers
This notice explains how we use personal data when you visit www.kemperzell.com, contact us, or meet us in a business setting. It follows the UK GDPR and the Data Protection Act 2018.
The personal data we use
- Messages and calls you send us. For example your name, email address, phone number and what you tell us.
- Business contact details. For example your name, job title, organisation, email address and phone number. We get these from business cards, meetings, events and introductions, or from public sources such as company websites, LinkedIn and Companies House.
- Basic website logs. When you visit our website, our hosting provider automatically records technical details. These include your IP address, browser and device type, the pages you request, the date and time, and the website you came from. These logs are used to run and protect the website. We do not use them to identify you.
- Google Fonts. Our website loads its fonts from Google's servers. When a page loads, your browser sends your IP address and basic browser details to Google.
- Cookies. Our website only uses cookies that are strictly necessary. See our Cookie notice at www.kemperzell.com/cookies.
We do not ask for sensitive information (for example about health, religion or ethnicity). Please do not send it to us. Our website is not aimed at children.
Why we use your data, and our lawful basis
- To reply to your messages and calls. Lawful basis: legitimate interests (answering people who contact us). If you ask about working with us, the basis is also steps taken at your request before entering into a contract.
- To keep in touch with business contacts and explore working together. Lawful basis: legitimate interests (running and developing our business).
- To provide our services under a contract. Lawful basis: contract, if the contract is with you. If the contract is with your organisation, the basis is legitimate interests (working with our client's staff).
- To run our website, keep it working and protect it from misuse. Lawful basis: legitimate interests (a secure, working website).
- To show our website's fonts. Lawful basis: legitimate interests (a clear, readable website).
- To keep business, tax and accounting records, and to answer lawful requests from authorities. Lawful basis: legal obligation.
- To deal with legal claims. Lawful basis: legitimate interests (protecting our legal rights).
When we rely on legitimate interests, we have balanced our interests against your rights. You can object at any time (see "Your rights" below).
We do not send marketing newsletters. If we ever send business marketing emails, we will follow the law and you can opt out at any time.
We do not sell your personal data. We do not make decisions about you using only automated means.
Who we share your data with
We only share what is needed with:
- Our website provider: Lovable (Lovable Labs Sweden AB), which builds and hosts our website, and the providers it uses to run it, including Cloudflare for hosting, delivery and security.
- Google: which provides the fonts on our website. Google also provides our business email, so emails you send us are stored by Google.
- Other service providers: for example our phone, IT and virtual office providers (our virtual office receives post sent to our registered office).
- Professional advisers: for example our accountants, lawyers, insurers and bank.
- Authorities: for example HMRC, Companies House, regulators, the police or courts, when the law requires it.
- A buyer or investor: if our business, or part of it, is sold or restructured.
International transfers
Some of our providers, such as Google and Cloudflare, may process personal data outside the UK, including in the European Economic Area and the United States. When this happens, we rely on legal safeguards. These are UK "adequacy regulations" (for example for the European Economic Area, and for US companies certified under the UK Extension to the EU-US Data Privacy Framework), or approved contract terms (the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses). How long we keep your data
- Messages and enquiries that do not lead to work: up to 2 years after our last contact.
- Business contact details: while we have a business relationship, then up to 2 years after our last contact.
- Client and contract records: 6 years after the contract ends.
- Accounting and tax records: 6 years from the end of the financial year they relate to.
- Website logs: kept by our hosting provider for a short time under its own policies. We do not keep our own copies.
- Google Fonts data: handled by Google under its own policies.
After these periods we delete the data or make it anonymous, unless the law requires us to keep it longer.
Your rights
You have the right to:
- Ask for a copy of your personal data.
- Ask us to correct data that is wrong or incomplete.
- Ask us to delete your data.
- Ask us to limit how we use your data.
- Object to how we use your data, including any direct marketing.
- Ask us to move your data to another organisation, in some cases.
- Withdraw your consent at any time, where we rely on consent.

Complaints
If you are unhappy with how we use your data, please contact us first. We will acknowledge your complaint within 30 days and try to put things right.
